Terms and Conditions

Festival Fee

The festival fee covers full access to all events during the MitOst Festival and, if required and available, accommodation in a hostel.

Participants can calculate their individual festival fee here.

The festival fee varies according to the participants’ current place of residence, not their nationality.

For logistical reasons, the festival fee is fixed; that means it must be paid in full even if a participant is not going to attend the entire duration of the festival.

MitOst members who will only attend the Members’ Assembly are not required to pay a festival fee.

The festival fee for children aged between 6 and 12 is half of the festival fee paid by their parent.

Participants whose session proposals are selected for the festival programme will be offered a 50% reduction of the fee as recognition of their contribution to the festival.

To ensure that the MitOst Festival remains a special experience for its participants and in order to acknowledge the impact on the local environment as well as to respect the capacities of the organising teams, the number of participants is limited to 350. We will notify you here once this limit is reached.

There are several types of grants available for members of the networks listed below.

Participants who have chosen the hostel option during the online registration will be accommodated in the Avenue hostel. The festival fee in this case covers full access to all events during the MitOst Festival as well as hostel accommodation including breakfast from Wednesday, 2nd of October to Sunday, October 6th of October.

For the duration of the MitOst Festival, the hostel is booked exclusively for festival guests. The participants will be accommodated in shared male, female or family rooms with multiple beds and 4 to 8 people per room. The rooms are spacy and each bed is equipped with a curtain, ensuring private space while sharing a room with other festival participants. A limited number of rooms have private bathrooms, while the rest of the rooms have shared bathrooms on the same floor.

As the contingent of places in the hostel is limited, we recommend the Early Bird registration. Participants who prefer to organise their accommodation on their own may find several hotels of varied prices in the 5th (Lipótváros), 6th (Terézváros) and 7th (Erzsébetváros) districts (as well as good airbnb spaces).

For participants who would like to stay a little farther but still in the centre and in good connection to the festival locations, the eastern part of the 2nd district (Víziváros) is at a walking distance of approximately 15 minutes to the main venues. Other interesting and lively neighbourhoods are in the 9th district (Ferencváros).

The MitOst couch surfing group on Facebook is another option guests can use to organise their accommodation during the MitOst Festival.

Attending the MitOst Festival with Children

A limited number of rooms for families with children is available in the Avenue hostel. The hostel does not offer baby beds. Participants who need support with finding a suitable accommodation are requested to contact the festival team.
Childcare during the entire duration of the festival cannot be provided. However, the festival team will support self-organisation of childcare. Please contact us at festival@mitost.org.

Travel Allowance for MitOst Members

The MitOst Festival is the annual meeting place for MitOst members, and is actively co-created by those who take part in the association. In order to enable members to attend the MitOst Festival, travel expenses will be reimbursed partly during or after the MitOst Festival.

Members from the EU-15 countries and Switzerland receive a travel allowance of up to 25% of their travel costs and a maximum of 100 EUR. Members of other countries receive a travel allowance of up to 25% of their travel costs and a maximum of 150 EUR.

The travel allowance, is based on the participants’ current place of residence, not their nationality. The allowance will be granted based on original invoices, tickets and boarding passes and applies to economy or second-class tickets only (if travelling by car, the calculation is based on a printout of the route which includes  the distance travelled in kilometres).

In special cases, within a limited budget, higher allowances or full travel cost reimbursement can be granted to members who could otherwise not attend the MitOst Festival for financial reasons. Applications for this are only possible during the Early Bird period via festival(@)mitost.org

Conditions for Granting the Travel Allowances

Ecological sustainability is important for MitOst. For distances of less than 600 km or 10 hours or less of travel time (start city - Budapest), participants are encouraged to use the bus and train. This is also a condition for the reimbursement of travel expenses. However, participants who plan on travelling to the festival by plane for short distances should send a short explanation to festival(@)mitost.org and ask for approval from the festival team before booking.

Short-haul and connecting flights are particularly harmful to the environment. Therefore, participants who must travel by plane; are recommended to change to a bus or train instead of taking a connecting flight in case no direct connection is available.

If you have questions or comments about these rules, please contact the festival team at festival(at)mitost.org.

Joint Travel to the MitOst Festival

In the lead-up to the previous MitOst Festival editions, many participants arranged to travel together to the event. MitOst would like to support this – especially if it saves CO2 emissions and money. This year, participants are invited to join a trip by night train from Berlin to the festival in Budapest. The train ride will take place on 1st of October and includes a cultural programme. There are around 70 places available. More information on how to book a place in the train you can find here.

Participants who travel from other directions are welcome to use the Facebook group 17th International MitOst Festival. It provides a platform for connecting people to travel to the MItOst Festival together.

Meals during the MitOst Festival

Participants accommodated in the festival hostel have breakfast included from Thursday, 3rd of October to Sunday, 6th of October.

Participants are responsible for organising their own lunch and dinner. Prior to the MitOst Festival, a list of cafés and restaurants in the area--both to relax and to enjoy some typical local food—will be provided. A lunch will be provided to all members attending the Members’ Assembly.

(Visa) Invitation Letters

MitOst can offer participants of the MitOst Festival assistance with visa invitations. This will require a brief e-mail to festival(@)mitost.org. For participants who need a visa to enter Hungary, the registration in the early bird registration period is recommended in order to allow sufficient time for the visa issuance process.

The invitations will be sent by e-mail. If an original invitation is required (e.g. for submission to the employer), sufficient time should be scheduled for delivery. Additional costs for express delivery must be paid by the participant.

We want to make the MitOst Festival as inclusive as possible. In order to allow participants to take part in different workshops and discussions, within our capacities, we offer translations (simultaneous, whisper translations, multilingual events) in German, English, Russian and Hungarian for many sessions.

We welcome participants to support us in this mission as a language mediator. Please write an email to: festival(at)mitost.org.

Use of Recordings and Photographs

The MitOst Festival will be documented in film, photo and audio files. By registering for the festival, all participants agree to the publication of images of themselves. MitOst, as the organiser of the festival, can use these images for documentation and PR in a channel or medium of its choice. For legal and logistical reasons, the permission is absolutely necessary.

For logistical reasons, we ask you to please approach us individually during the festival in case you do not wish images of yourself to be published by MitOst.

Cancellation Fees

Cancellation of the registration for the MitOst Festival is possible via e-mail to festival(at)mitost.org until 30th of June with a full refund of the festival fee and until 1st September 2019 with a refund of 50% of the festival fee. In case of a later (or no) cancellation, the festival fee will be withheld by MitOst.

Please keep in mind that hotel reservations pose a financial risk for MitOst. For this reason, participants who booked accommodation are asked to cancel their registration as early as possible if they cannot come. In addition, the places for participating in the Festival are limited and cancelling in time allows others to participate.
