Participation and registration

With the slogan care – create – celebrate  we invite our members, alumni, partners, locals and everyone interested to join the 15th International MitOst Festival taking place from 4-8 October, in the twin cities of Frankfurt (Oder) / Słubice in the Polish-German border region.


You could register to the Festival until 15 September 2017. Currently it is no longer possible to register. The festival takes place from 4 to 8 October 2017 in Frankfurt (Oder) and Słubice (Germany and Poland).

Festival fee

Every participant who registered before 12 September pays a festival fee which includes the accommodation (in double room, including breakfast from Wednesday to Sunday) as well as complete access to all events during the event. 

Participants who do not need an accommodation or who registered after 12 September pay a reduced fee of 40 Euro.

The fee varies according to your current place of residence, not your nationality.

Members who attend the members’ assembly only pay half of the festival fee.

We kindly ask all participants from the EU to transfer their festival fee until 15 September 2017 to the following bank account. Participants  who do not have an EU bank account can pay the festival fee in cash at the festival venue in Frankfurt (Oder) / Słubice.

Travel allowance

The festival is the annual meeting place for our members and has ever since actively been co-created by those who take part in our association. Therefore, we would like to enable as many of our members as possible to attend the festival.

We reimburse a share of your travel costs depending on where your journey begins. Thus, we want to reduce your travel expenses to a reasonable amount.

Members who cannot attend the festival due to financial reasons, please contact our treasurer Barbara Anna Bernsmeier (bernsmeier(at) There are a few exceptions in case of reasonable circumstances where we can give a grant.

Unfortunately, we will not be able to pay travel allowances to non-members.

Please take into consideration that the place of living or the place where your journey begins is decisive for the travel allowance, not the nationality.

For reimbursement of travel expenses, all original tickets for your journey to Frankfurt (Oder) / Słubice and copies of all tickets for your return journey (if travelling by car: print of the route incl. indication of kilometers) are needed.

In the lead up of our previous festival editions participants arranged travelling together to the event. We would like to support you in this - especially if this saves money and CO2-Emission/ per person at the same time. Conditions for Granting the Travel Allowances
For distances of less than 600 km or 10 hours travel time (start city - Frankfurt (Oder)) we want to make using the bus and train the options of choice – and a condition for reimbursement of travel expenses. However, if you still plan to travel to the Festival by plane for such short distances, please send us a short explanation and ask for approval from the Festival team before booking.

Short-haul and connecting flights are particularly harmful to the environment. Therefore, if you need to take a plane and cannot find a direct connection, change to a bus or train instead of taking another connecting flight. Popular airports might be Frankfurt (Main), Hamburg, Dresden, Leipzig, or Prague. From these cities, please take a train or bus for the continuation of your trip, instead of taking a second airplane, which we would not reimburse.

Some MitOst programmes have been successfully using this rules for a while, and now we would like to try it out for the Festival, too. If you have questions or comments about this rules, please contact us at festival(at)

Accommodation and meals

All of you, who registered before 12 September and need accommodation, we booked an accommodation in the dormitory in Słubice. The festival fee includes accommodation from October 4-8. Should you arrive earlier or leave later, please take care of your accommodation before and after the Festival yourself.

Because the dormitory is already fully booked, we ask all of you, who registered later, to take care of accommodation on your own.

You will be responsible to organize your own lunch and dinner. Prior to the festival we will provide a list of cafés and restaurants both in Frankfurt(Oder) and Słubice worth a visit – both to relax and enjoy some typical local food. 

A lunch will be provided to all members attending the members’ assembly.


We wish to open up the festival for everyone to join the conversations. That is why we try to offer all events during the festival in German, English, Russian and Polish according to our possibilities. Thank you for your understanding that this might not always be possible.

Use of recordings and photographs

The festival will be documented in film, photo and audio files. By enrolling in the event, all participants agree to the publication of the images and therefore to publication of images of themselves. MitOst as the organiser of the festival can use these images for documentation and PR. It can choose the appropriate medium itself.

Cancellation fees

Cancellation of the festival enrolment is possible via e-mail to festival(at) up to the deadline of 15 September 2017. If you cancel later or not at all you will be obliged to pay half of the festival fee to MitOst. Please keep in mind, regarding reservations, for MitOst every application is per se a financial risk. That is why we ask our members and guests to cancel their enrolment as early as possible in case they will not be able to come.
